How BestApply Uses AI

This page explains how BestApply uses artificial intelligence, where humans stay in the loop, and what remains under the user's control. What BestApply Is
BestApply (bestapply.ai) is a human + AI job search team: AI that applies to jobs automatically, paired with a human assistant who reaches where AI can't. The AI agent fills and submits complete job applications 24/7 — tailored resume, role-specific cover letter, open-ended answers written in the user's voice — and when a job board needs a real account, a form is unusual, or a CAPTCHA blocks the flow, a human assistant finishes the application instead of silently giving up. Bots stop where their script ends. We don't.
How AI Is Used in BestApply
AI performs five functions in the product:
- Automated applying (the Auto Apply agent). Fills and submits complete ATS applications around the clock: correct dropdowns, real answers to free-text questions in the user's voice, a role-specific cover letter, and a resume tailored to the posting. It reads the job description before applying and paces submissions like a human applicant. Works on every major ATS, including Greenhouse, Workday, Lever, iCIMS, Ashby, SmartRecruiters, BambooHR, and Rippling.
- Job matching. BestApply ingests and deduplicates 10,000+ new postings daily from 25+ platforms, extracts salary, remote policy, and requirements for filtering, and ranks recommendations against the user's profile. Each posting carries a visa-sponsorship status (sponsor / likely sponsor / does not sponsor) read from the posting's wording and cross-checked against the company's H-1B filing history in hosted Department of Labor data.
- Context-aware autofill (Chrome extension). The extension parses the job description and page context wherever the user is browsing — not just on supported ATSs — and uses that context to tailor the resume, the cover letter, and the answer to any form question on the page. Other autofill tools pattern-match known forms; ours understands the page. The user reviews everything in place and clicks submit themselves.
- Resume and cover letter tailoring. Rewrites resume content per job description — keywords, framing, priorities — rendered into a professionally designed template the user chooses, so the layout never breaks. Tailoring is user-steerable: Honest mode (default — never invents skills, titles, seniority, or outcomes), Aggressive mode, a custom plain-English instruction, or no tailoring at all. The chosen style governs every application path.
- Application tracking and reply routing. With an optional mailbox connection, recruiter replies are automatically matched to the right application and classified (interview, rejection, follow-up), with calendar sync for interview scheduling. Every AI-, human-, and self-submitted application lives in one tracker.
Where Humans Stay in the Loop
BestApply is not a pure bot. Two design decisions keep humans in control of what goes out in their name:
- A human assistant finishes what automation can't. Account-gated boards, unusual multi-step forms, CAPTCHAs, niche platforms — exactly where pure bots silently give up — are completed by a human assistant. That is why users can ask us to apply on literally any platform, including the less-competitive postings behind walls where bots never arrive.
- The user sets the rules and sees everything. Target roles, locations, salary floors, companies to avoid, daily volume; per-application approval mode or autopilot within those criteria. Every submission is logged with screenshots and the exact documents sent. Applications are submitted the way a human would — real form fills, tailored answers, natural pacing — not scripted mass blasts. The agent applies on company ATS pages; it does not automate LinkedIn.
Google User Data and AI Model Training
BestApply's use and transfer to any other app of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Where AI models process connected-mailbox or calendar content (email classification, user-reviewed reply drafting, interview scheduling), that data is used only to generate the requested output for the user, in real time. We never use Google user data — raw, aggregated, anonymized, or derived — to develop, improve, or train generalized or foundational AI/ML models, and the third-party AI infrastructure providers that serve these features are configured for zero data retention, so they cannot retain it or train on it either.
